I am pleased to announce Surveyor Live 26, a new, industry-neutral community event created by surveyors, for surveyors, and hosted by the Residential Property Surveyors Association (RPSA) in partnership with Howden Insurance and Skyline Surveyors. We have built this event on a simple principle: the profession is stronger when we work together, and the best conversations happen when the whole sector is in the room.

Surveyor Live 26 takes place on Thursday, 14 May 2026, at the National Self Build & Renovation Centre (NSBRC), Swindon.

 

With regulation, legislation, AI, and market expectations evolving quickly, this day is designed to be practical, open, and genuinely useful, with short “power” presentations, live demonstrations, interactive discussion, and open Q&A, rather than long, slide-heavy talks.

Professional Client Communication and Better Report Writing

A practical two-part CPD course for surveyors

Clear communication and well-structured reporting are now more important than ever in residential surveying practice. Technical knowledge remains essential, but on its own it is not enough. Surveyors are also expected to set expectations clearly, define scope properly, record key matters accurately, communicate professionally when issues arise, and deal with clients in a way that is fair, measured and ethical.

This two-part CPD course has been designed to help surveyors strengthen their skills in a practical, commercially relevant way. It focuses on the areas that most often make the difference between smooth instruction and difficult instruction, including terms of engagement, client expectations, complaint handling, written communication, report clarity, and professional judgement.

The aim is not simply to help surveyors protect themselves. It is equally to promote fairness to the consumer, improve confidence in the service being provided, and reduce the risk of misunderstanding, unnecessary escalation and avoidable disputes. Good procedure, honest communication and clear reporting help everyone.

Developed and delivered by Andrew McColl and Sean Curtin, this course draws on extensive practical experience in complaint handling, dispute resolution, risk reduction, professional standards and member support within residential surveying practice. Through years of involvement in supporting surveyors and reviewing real-world cases, they have seen firsthand the issues that most often lead to dissatisfaction, complaints, and escalations, and the practical steps that can help avoid them.

The RPSA panel has overseen many thousands of surveys, and with that volume inevitably comes the occasional bump in the road. That experience has provided valuable insight into where misunderstandings arise, what tends to escalate matters unnecessarily, and how better communication, better process and better reporting can make a real difference.

This first course is being run in a small-group format, limited to just four participants. That is deliberate. It allows time for proper discussion, practical examples, reflection and direct input throughout the sessions, rather than a more general webinar-style approach.

Course format

This course will be delivered live via Zoom and will be split across two separate sessions:

Module 1: Monday 16 March
Module 2: Monday 23 March

Each module will run for 3 hours.

Who this course is for

This course is designed for surveyors who want to strengthen the quality of their client communication, improve the clarity and effectiveness of their reports, reduce the risk of complaints and disputes, and build greater confidence in their procedures and professional decision-making.

It will be particularly valuable for those who want to sharpen standards, reflect on how they communicate in challenging situations, and ensure that both their reporting and client care stand up well to scrutiny.

Module 1

Professional Client Communication and Complaint Handling

This session focuses on the communication and procedural issues that often sit at the heart of dissatisfaction, complaints, and disputes. It is designed to help surveyors deal with clients clearly, professionally and fairly from the outset, while also providing practical guidance on how to respond when matters do not go according to plan.

Setting clear terms of engagement

A strong professional relationship begins with clarity at the instruction stage. This part of the course looks at how to clearly set out scope, limitations, fees, assumptions, and expectations from the beginning, so that clients understand both what is being provided and what is not. Particular attention will be given to avoiding ambiguity, properly recording key matters, and ensuring that instructions are confirmed in a way that is both professional and understandable.

Managing client expectations from the outset

Many complaints begin not because of a serious technical failing, but because expectations were not properly aligned at the start. This section explores how surveyors can manage expectations more effectively, including explaining the purpose and limits of the service, clarifying what the client can reasonably expect from the inspection and report, and communicating in a way that reduces the risk of later misunderstanding.

Agreeing fees and variations clearly

Disagreement over fees or additional work can quickly damage trust if matters are not set out properly. This part of the session considers the importance of clear fee arrangements, when and how to explain variations, and why proper written records matter. The emphasis is on avoiding confusion, maintaining transparency, and ensuring that any changes are handled openly and professionally.

Implementing a professional complaint-handling process

An effective complaint-handling procedure is not simply a defensive mechanism. It is part of good professional practice. This section looks at what a proper complaints process should achieve, how complaints should be acknowledged and managed, and how a fair, proportionate and calm approach can often prevent further escalation. The aim is to show that good complaint handling is about professionalism, fairness and resolution, rather than argument.

Tone, written communication and de-escalation

Emails and written correspondence can either calm a situation or make it considerably worse. This section focuses on tone, language and judgement in written communication, particularly when dealing with challenge, criticism or complaint. Participants will consider how to remain professional under pressure, how to avoid language that comes across as defensive or confrontational, and how to communicate firmly when needed without creating unnecessary friction.

Fairness, ethics and professional balance

The course does not approach complaint handling purely from the surveyor’s perspective. This section considers the importance of fairness to the client, the need to act honestly and proportionately, and the value of maintaining professional boundaries without losing sight of what is reasonable in the circumstances. Good practice depends not only on protecting oneself, but also on being seen to act fairly and ethically.

Practical examples and discussion

Throughout the session, there will be practical examples, discussion points and opportunities to reflect on how these issues arise in day-to-day practice. The small-group format is intended to encourage proper discussion rather than passive listening, allowing participants to consider the lessons in a realistic professional context.

Module 2

Better Report Writing

This session focuses on producing reports that are clearer, better structured, more professional in tone and less likely to give rise to misunderstanding, dissatisfaction or later challenge. It is designed to help surveyors improve the quality of their written output, supporting both client understanding and sound risk management.

Writing with clarity and purpose

A report should communicate clearly, not simply record observations. This section considers how to write in a way that is understandable, proportionate and useful to the client, while still retaining professional accuracy. It will focus on avoiding vague or confusing wording, improving readability, and ensuring the report supports informed decision-making by the client.

Structuring reports more effectively

Good structure plays a major part in how a report is received and understood. This part of the session looks at how to organise findings clearly, present information in a logical order and ensure that important matters are not lost in the detail. A well-structured report is not only easier for the client to follow but also better able to withstand later scrutiny.

Defining scope, limitations and boundaries clearly

One of the most important aspects of report writing is ensuring that the inspection's limits and the scope of the advice are properly explained. This section focuses on how to set out limitations clearly, avoid unintended assumptions, and ensure the client understands the basis on which the report has been prepared. Clear boundaries are essential to clear reporting.

Avoiding ambiguity and reducing misunderstanding

Ambiguity is one of the main causes of later complaints. This part of the course explores how certain word choices can lead to confusion, mixed messages, or unrealistic expectations, even when the surveyor believed the meaning was obvious. Participants will look at how to write with greater precision and balance, reducing the likelihood that the report will be misread or challenged later.

Presenting technical matters appropriately

Surveyors must strike the right balance between technical accuracy and client understanding. This section considers how to present technical issues in a way that is accurate, proportionate and suited to the purpose of the report. It will also examine the importance of staying within one’s own expertise and making appropriate recommendations when specialist advice may be required.

Writing reports that support better outcomes

A good report does more than identify defects. It helps the client understand significance, next steps and practical implications. This section looks at how to write reports that manage expectations more effectively, support sensible decision-making and reduce the likelihood of complaints by being clear, balanced and professionally judged throughout.

Reflection and practical application

Participants will be encouraged to reflect on common reporting weaknesses, consider examples of wording and structure, and think about how relatively small improvements in drafting can make a significant difference to clarity, professionalism and client understanding.

What participants will gain from the course

By the end of the course, participants should have a stronger understanding of:

  • How to set expectations more clearly at the outset
  • How to communicate more effectively with clients
  • How to handle complaints in a professional and proportionate manner
  • How to improve written tone and avoid unnecessary escalation
  • How to structure reports more clearly and define the scope properly
  • How to reduce the risk of misunderstanding, dissatisfaction and avoidable disputes
  • How better process, better communication and better reporting contribute to fairer and more professional outcomes for all parties

Neil Cutland joined the Sava team in 2022 as Consultancy Director and is building Sava’s data and energy consultancy work. This is after a long career as an energy and sustainability consultant, specialising in low-energy buildings with a particular focus on housing.  Neil is one of the authors of the BREDEM mathematical models that underpin the SAP, is a Member of the Institute of Physics and has sat on various Government and related advisory panels.

Following his doctoral research on the thermodynamics of industrial heat recovery devices, Neil undertook extensive performance monitoring of the homes on the iconic Energy Park in Milton Keynes.  He subsequently helped to develop and deliver the training programme for NHER energy assessors.

Neil enjoys driving classic sports cars, playing rock guitar and skiing – with more enthusiasm than skill in all cases.

Mark Sreeves became Sava’s Technical Sales Manager in 2014. He takes the leading role within the company of working with our software clients to understand how we can meet their needs, provide in-depth training, and delivering technical webinars.

Mark obtained a BSc in Science and Technology at Middlesex University and since the late 1980s has worked as an energy consultant supporting organisations with energy efficiency, fuel poverty and managing carbon. He is a qualified energy assessor (and a teacher) and is committed to working in an area of work that is helping to maintain and improve the environment.

Outside of work, Mark enjoys going to the theatre and cinema and more recently has been learning more about plants and trees by creating a garden.

Sam Lott

Energy Data Consultant

Sam Lott joined the Sava team in December 2022 as an Energy Data Consultant. His job is to work with customers to advise on the quality of their housing stock data and give advice on different ways in which they can work towards their zero carbon goals. He is working on broadening our consultancy services with a focus on sustainability and has a keen interest into how we can best advise our clients on retrofitting sustainably and the importance of electrification in the housing sector.

Before joining Sava, Sam completed a degree in Biological Sciences, followed by a Masters of Research in Biological science. This research focused on first time intracerebral haemorrhagic stroke, identifying risk factors that cause early onset and groups that are more predisposed to early onset.

He enjoys travelling in his time off, exploring the globe and different cultures. He loves the outdoors and recently travelled across the US in an RV exploring the country over several weeks.

For ANY surveyor, student or qualified, the National Self Build & Renovation Centre is a 67,000sqft treasure trove of knowledge, interest and discovery that will bring theory to life. With over 200 permanent exhibits covering everything from air source heat pumps to drains, roofs, and much, much more, you will learn and see displays and products you've only ever read about in textbooks.

The Renovation House, typical of a property built in the inter-war years will show you the sequence of renovation of a dilapidated property in a unique way that brings it to life.

But the RPSA have made THIS visit to the NSBRC something very special.
We've invited along a range of trade and professional partners to give you the chance to talk about PI, Camera Poles, software, RPSA panel opportunities, training, accreditation, and much more.
UK Global (Howdens), CABE, PCA, Sava, Composite Poles, Skyline, RPSA and Drive Electric will all be available in a relaxed and informal environment to answer your questions, and even let you have a test drive in an electric car.

Previously we've only ever visited the NSBRC for conferences and learning days....but that never leaves enough time to properly explore the centre to reveal all of its treasures.

And that is why the RPSA have organised this exclusive members tour of the Bulmer Brick & Tile Company. Only 25 places are available for this memorable visit hosted by Peter Minter, a brickmaker for 70 years, and able to trace brick-making on the same site back to 1450.

YOU WILL NOT WANT TO MISS THIS UNIQUE OPPORTUNITY

Bulmer bricks are made from the finest London Clays, dug from seams almost continually since Tudor times. All Bulmer bricks are hand made, using traditional methods of making, drying and are fired in a coal burning, down draught kiln. This helps to give the distinctive finish that blends so well with the originals. The process takes time - something to consider at the project planning stage.

Bulmer Brick & Tile are a small family business continuing the traditions of brickmaking on this site dating back to the Middle Ages. Their facings and specials can be made with almost any texture, from coarse veined to smooth with some 150 different sizes of facing and a range of over 5000 special shapes, including all standard plinths, squints and copings, and extends to purpose made chimney bricks, terracotta, mullions, jambs, floor bricks, pamments, decorative plaques, garden edgings and a full range of rubbing blocks. They work on large projects for the National Trust, English Heritage and Historic Royal Palaces, but are just as proud of some of the small private work undertaken by individuals.

RPSA Chairman Reflects on Property Institute Conference 2025: Building Bridges for a Better Built Environment.

Earlier this month, RPSA Chairman Andrew McColl and former Chairman Alan Milstein attended The Property Institute’s (TPI) 2025 Annual Conference. Held at the prestigious QEII Centre in Westminster, the event welcomed nearly 900 property professionals, highlighting the sector's growing influence and increasingly collaborative outlook.

"I was delighted to accept the kind invitation from Alan Milstein to attend this important conference," said Andrew McColl. "It was a very productive day, which also included attendance at two other property events, followed by a very enjoyable pint with fellow RPSA members at the 'Conveyancing Matters' meeting."

Key Insights from the Morning Sessions

Although RPSA representatives attended only the morning sessions, the speaker lineup was both insightful and impactful:

  • Peter Apps, journalist and author of Show Me the Bodies: How We Let Grenfell Happen, delivered a powerful address titled “Black Elephants:      Grenfell and Preventing the Next Disaster.” His profound exploration of systemic failure and the human cost of regulatory complacency was both moving and thought-provoking.
  • Sandra Ashcroft of the Health and Safety Executive provided a timely update on the Building Safety Act 2022, offering practical insights into its implementation and what it means for duty holders. You can read the RPSA’s blog reflections on the Building Safety Act here

Other notable speakers included:

  • Martin Boyd, Leasehold Knowledge Partnership, with an impassioned call for urgent reform in leasehold legislation.
  • Kate Faulkner OBE, The Property Ombudsman & HBSG, championing stronger cross-sector collaboration.
  • Troy Maria, whose high-energy session explored competence, ethics, and the standards expected of professionals in a modernised sector.

Panel sessions addressed pressing themes such as data-driven asset management, digitisation, and the evolution of competency frameworks, offering a clear glimpse into the sector’s future direction.


Legal and Regulatory Updates

The conference provided crucial legal and regulatory updates, essential for surveyors and property managers:

Leasehold  and Freehold Reform Act:

  • The Leasehold and Freehold Reform Act 2024 introduces significant changes, particularly regarding service charge transparency and limitations on legal costs.
  • Key reforms include extending regulation to fixed service charges, requiring new service charge notices and demands, and enhancing the First-tier Tribunal's enforcement powers.
  • The act also addresses limitations on a landlord’s ability to charge insurance costs and mandates the publication of administration charge schedules.
  • Controversial clauses related to legal costs and the right of tenants to claim litigation costs from landlords were also discussed.Building      Safety Act 2022:
  • Sandra Ashcroft’s update on the Building Safety Act 2022 emphasised the importance of competence, the role of the client in ensuring safety, and the duties of Accountable Persons (APs) and Principal Accountable Persons       (PAPs) in managing building safety risks.
  • The Act aims to improve competence and standards across the built environment industry and ensure accountability for those involved in building design, construction, and management.
  • The new framework highlighted a stringent regulatory regime for higher-risk buildings and clients' responsibilities to appoint competent individuals and organisations as critical components.


The Importance of Procurement Skills

  • Mark Snelling's session underscored that procurement skills are      'non-negotiable' for property professionals.
  • Property managers must comprehensively understand procurement processes to ensure compliance, manage risks, and deliver value.
  • The TPI Model Management Agreement places specific obligations on managing agents, including contract management and service procurement, making procurement competence essential.


An Inspirational Setting

The sheer scale of the event, with close to 900 delegates filling the main auditorium, created a genuinely inspiring atmosphere.

“It certainly gave us food for thought,” added Andrew McColl. “Imagine an RPSA gathering of similar ambition—uniting surveyors, stakeholders, and industry partners in a national celebration of independent expertise. It’s a bold thought, but one worth entertaining.”

Looking Ahead

The RPSA team left feeling energised, well-informed, and enthusiastic about what lies ahead. Events like the TPI Annual Conference are a timely reminder of the value of cross-professional dialogue and the importance of shared learning environments.
